An Officer of the Board

Time Commitment:

  • 6pm–11pm × 12 Friday Club Nights per year

  • 1–2 Board Meetings monthly

  • Additional time for meeting preparation, document management, and communications

Reports to:

  • President, Board

  • Treasurer

  • General Manager

  • Board Members


Are You:

What We Are Looking For:

A reliable and detail-focused leader to serve as the administrative backbone of the Board. The Secretary ensures accuracy, transparency, and organization in all Club governance activities — helping preserve the history and integrity of the Calgary Folk Club.


When You Are Needed:

Outside of Club Nights

  • Board and committee meetings

  • Document preparation and management

  • AGM and membership coordination

Club Nights

  • Supporting operations and acting as a visible representative of the Board


What You’ll Bring:

  • Excellent written and verbal communication skills (in-person, online, and by phone)

  • Strong time management and organizational skills

  • High attention to detail and accuracy

  • Comfort with Google Suite, Zoom, Word processing, and spreadsheets

  • Ability to work independently and collaboratively with a team

  • Familiarity and connection with the Calgary Folk Club community


What You’ll Do:

  • Draft, circulate for approval, and upload Board meeting minutes (including AGM) to Google Drive within one week

  • Ensure all Directors’ Reports are uploaded to Google Drive in their respective folders

  • Support the President and Vice President in preparing for regular and special Board meetings

  • Manage and maintain archival documents related to the Board and its functions

  • Collaborate with the Treasurer to ensure proper filings, licenses, and reports meet Alberta Society requirements

  • Send AGM invitations and notifications

  • Maintain updated logins and passwords for Club digital accounts in cooperation with Board Members and the General Manager

  • Track and record annual CFC Membership details and benefits

  • Oversee and maintain Google Workspace
  • Respond to and manage the info@calgaryfolkclub.com inbox, alongside the General Manager
